Position Summary

The position will support the Director, Patient Experience in helping to manage department workstreams, the patient survey process, Simply Better Trust, education programs for providers and staff, directing patient concerns to appropriate leadership, and ensuring that all department standard work is up to date.

Essential Functions and Responsibilities of the Job

  1. Ability to coordinate all department projects and events.
  2. Ability to effectively communicate with patients and staff to direct compliments and concerns to the appropriate management team in the absence of the Director, Patient Experience.
  3. Maintain HIPAA compliance through patient confidentiality.
  4. Create and revise department operating practices and implement improvements where necessary.
  5. Interact with all levels of leadership and shared services support, e.g., IT, BI, facilities, etc.
  6. Coordinate the process for both patient survey tools, which includes knowledge of portals to pull/create reports as needed.
  7. Schedule and coordinate meetings, appointments, and department events as necessary.
  8. Take any necessary meeting notes, track and follow up with action items.
  9. Provide reminders to the clinical office leadership teams of all follow-up items and outstanding tasks from projects/events.
  10. Manage Simply Better Trust usage for all MCMG, Nautilus offices, and specific Shared Services departments.
  11. Maintain materials and supplies for all educational programs.
  12. Maintain office supplies for the department.
  13. Performs miscellaneous tasks and projects as assigned.
  14. Update department standard work as it pertains to this position.
  15. Ability to be at work and be on time.

  18. Ability to prioritize and multitask

*Placement in the pay range is based on multiple factors including, but not limited to, relevant years of experience and qualifications. In addition to base pay, there may be additional compensation available for this role, including but not limited to, shift differentials, extra shift incentives, and bonus opportunities. Minimum Requirements

Qualifications/Work Experience:

  • Three years of previous experience in an administrative role
  • Must possess excellent time management skills to support work on multiple tasks/projects simultaneously. 
  • Must have excellent written and verbal communication skills. 
  • Must be proficient in the use of Microsoft software products, e.g., Excel.
  • Demonstrates a willingness to learn new procedures, readily accepts new responsibilities, participates as a team player and contributes to the overall success of the department.
  • Prefer administrative support experience in a health care environment.

Education/Licensure/Certification:

  • Bachelor's degree preferred.
  • Excel proficiency certification preferred.
  • Project Management experience preferred.
