Position Summary

The Administrative Assistant I support’s the Cardiac Rehab and Outpatient Nutrition Departments with administrative and secretarial support. Functions include preparation of reports, statistics, written and verbal communications both internally and externally with department staff, patients, doctors and corporate contacts, patient scheduling, insurance verification, and business office coordination. The Administrative Assistant I supports the needs of the Coordinators and functions of these departments. This position is cross trained to perform the functions of the other Administrative Assistants within the departments.

Essential Functions and Responsibilities of the Job

1.Performs patient and client centered activities including scheduling, registration, insurance verification, confirmation and follow-up written and verbal communications, problem-solving, coordination with other department, hospital services, and physicians’ offices to assist with the delivery of smooth patient care.

2.Organizes and puts together Physician and client reports and billing

3.Creates and run department statistics and outcomes reports to support business activities.

4.Coordinates business office operations, room scheduling, ordering office supplies and repairs, and secretarial support including patient chart maintenance.

5.Coordination of regular and special events for the Cardiac Rehab and Outpatient Nutrition Departments including space and equipment planning, marketing materials, registration and outcomes reporting.

6.Collaboration with internal and external departments, staff, corporate contacts, vendors, patient accounts, information services, and insurance companies.

7.Ability to be at work and be on time.

8.Ability to follow company policies, procedures and directives.

9.Ability to interact in a positive and constructive manner.

10.Ability to prioritize and multitask.

*Placement in the pay range is based on multiple factors including, but not limited to, relevant years of experience and qualifications. In addition to base pay, there may be additional compensation available for this role, including but not limited to, shift differentials, extra shift incentives, and bonus opportunities. Qualifications/Work Experience:

                  Highly proficient in Microsoft Office applications such as Excel, Word, and Outlook

                  High level of written and verbal communication skills

                  Knowledge of various Medical Terminology preferred

                  1 Year experience in office management preferred

                  Previous experience in a patient care or medical office setting preferred 

Education/Licensure/Certification:

•            High School Graduate or GED equivalent preferred
