Position Summary

The Client Services Coordinator is responsible for scheduling and coordinating of patient or client services, including referrals, screening, processing, authorizations, admission, and discharge. Ensures a positive atmosphere during the entire continuum of care for all customers including, patients, families, physicians, case managers, payers, and members of the healthcare team.

Essential Functions and Responsibilities of the Job

  • Coordinates referrals and screening of patients for consideration for admission to the department or center. Keeps all appropriate individuals informed of patient admission scheduling and intervenes with physicians, nursing staff and case management to minimize any difficulties.

  • Provides clerical support services to director. Performs general office duties which include, but may not be limited to, answering the phone, returning phone calls within 24 hours, obtaining insurance verification for all patients, photocopying, scheduling appointments, meetings and conferences.

  • Communicates clinical and conference updates to external case managers to ensure appropriate utilization of services and payment for services rendered. Supports case management team by providing contact to appropriate individuals and related duties.

  • Prepares reports for department Manager and other selected individuals to track clinical and financial measures. Enters data on national database required to produce program evaluation outcome studies as required.

  • Assists technical, clerical and medical staff with satisfying the needs and concerns of patients, patient family members and friends to assure comfort, and assuage concerns of patients.

  • Completes back-office duties including rooming patients, taking vital signs, maintaining infection control procedures, and all other back-office duties as assigned. Maintains department appearance to ensure professional environment and safety standards per established goals and guidelines.

  • Collects co-payments, collaborates with billing department, case managers for insurance verification and tracking of financial data.

  • Enters all demographic and insurance information accurately into the electronic scheduling and registration systems. Checks-in and checks-out patients and ensures standard work is followed for scheduling, registration, phone calls and chart prep.

  • Maintains Procedure Manual and keeps up to date as required. Fulfills expectations as described in the Job Specific Competency Assessment Checklist.

  • Performs other duties as assigned.

*Placement in the pay range is based on multiple factors including, but not limited to, relevant years of experience and qualifications. In addition to base pay, there may be additional compensation available for this role, including but not limited to, shift differentials, extra shift incentives, and bonus opportunities. Minimum Requirements

Qualifications/Work Experience:

  • 3+ years experience in a health care office setting with working knowledge of electronic scheduling system and obtaining authorization for commercial and government insurance plans.

  • Some supervisory experience preferred.

  • Excellent computer skills in a Microsoft Windows environment including Word, Excel, PowerPoint, Outlook and Access

  • Outstanding interpersonal, written and verbal communications skills required.

  • Bilingual English and Spanish strongly preferred.

Education/Licensure/Certification:

  • Associate’s Degree or higher preferred.

  • BLS certification required.
