Position Summary

The Commercial Coordinator is responsible for supporting the activities and functions of PFS training and mentoring staff to ensure that goals and objectives are met in accordance with established priorities and timeframes. The Commercial Coordinator oversees the Commercial billing and/or collections of accounts to ensure that PFS is capturing all revenues as timely and efficiently as possible.  This position requires excellent customer service and communication skills with both internal and external customers. This position takes ownership of their departments processes and eliminates barriers to ensure prompt and accurate reimbursement.  

Oversees and/or performs special accounts receivable projects.  Also is responsible to assist in identifying global problem areas that may impact PFS’s ability to meet its goals. Monitors the workflow to ensure operations by the patient account representatives are at an optimal level.  Assists management in the development and implementation of procedures, training, and providing guidance to other employees.

Understands and utilizes many complex and varying California and Federal Statutes and regulations, guidelines, and systems. Assures appropriate billing and collections are in compliance.  

The Commercial Coordinator will manage resources responsibly and work at the highest level of performance, with a commitment to continuous improvement.  Is a team leader and displays positive supportive behavior.

Essential Functions and Responsibilities of the Job

  1. Provides day-to-day coordination of assigned PFS functions.
    1. Prepares staff monthly productivity as set by management to ensure goals are met.
    2. Assist Management by monitoring staff work queues.
    3. Lead staff huddles and visibility boards to assist management with staff meetings and education.
    4. Assist management to engage staff with Gallup Impact Plans.
    5. Able to perform in a leadership role when interacting with the staff.
  2. Investigates, documents, and resolves problems and complaints.

a.Assures problems are investigated thoroughly and in a timely manner.

b.Effective and positive system improvements are provided as part of the problem resolution.

c.Potential improvements are occasionally identified before problems arise.

d.Continuous process improvements are strived for in day-to-day activities.

e.Input on development, revision, and implementation of work area policies and procedures is provided to ensure efficient operations and compliance with regulatory standards.

    3. Documentation is maintained per established requirements.

    6. Time off is scheduled to avoid disrupting workflow.

  3. Works closely with PFS Managers in developing, implementing, and revising PFS related departmental policies and procedures.
    1. Able to adhere to all confidentiality policies and procedures and carries out all tasks in a pleasant and respectful manner.
    2. Ability to use critical thinking while reviewing Commercial billing and collection notes in the financial computer system to ensure that the appropriate action is taken within the Commercial billing and collection process to ensure correct hospital reimbursement.
  4. Ability to identify and trend problems in a timely manner and initiate appropriate actions to resolve problems or issues.
  5. Be at work and be on time.
  6.  Follow company policies, procedures and directives.
  7.  Interact in a positive and constructive manner.
  8.  Prioritize and multitask.

Placement in the pay range is based on multiple factors including, but not limited to, relevant years of experience and qualifications. In addition to base pay, there may be additional compensation available for this role, including but not limited to, shift differentials, extra shift incentives, and bonus opportunities. Experience

Minimum 5 years of experience and understanding of hospital contracts, exclusions and stop-loss language and calculations and hospital Commercial billing or collection processes.

Management experience a plus

Excellent written and verbal communication skills

Ability to analyze data and benefit information.

Understand and follow oral and written instructions.

Interact tactfully and courteously with the public, peers, and subordinates.

Proficient organizational and prioritization skills

Adhere and apply specific departmental policies, rules and regulations.

 

Education

High School diploma, GED equivalent

Business related courses, preferred.

AA Degree or medical field certificate, preferred.
