Pay Range: $22.41 - $32.50/hour

Position Summary:

This position requires the full understanding and active participation in fulfilling the mission of Orange Coast Memorial Medical Center. It is expected that the employee demonstrate behavior consistent with our core values: Accountability, Best Practices, Compassion and Synergy. The employee shall support Orange Coast Memorial Medical Center’s strategic plan and participate in and advocate performance improvement/patient safety activities.

The Secretary/Scheduler is an unlicensed caregiver working under the direction of the Physician and or the Registered nurse. This position is responsible for supporting the unit environment to maintain smooth, effective communication between healthcare practitioners, departments, patients, and visitors. The Secretary/Scheduler position is accountable for the accurate maintenance of the patient medical record, including computer order entry, scheduling, charging and billing. In addition, this role is accountable for obtaining prior authorization from physician’s offices. Maintains effective scheduling flow, and completes the scheduling process to ensure prompt treatment of the patient. Multi-task oriented with the ability to prioritize and coordinate the essential job function. Performs a broad range of secretarial and administrative functions.

1. Ability to handle the Televantage telephone system and schedule procedures skillfully coordinating patients and physician’s needs within departmental scheduling parameters.

2. Ability to educate Physician office staff on the preparation instructions

3. Schedules procedures which involves coordinating anesthesia, nursing, and specialized technician time.

4. Coordinates calls to physician office to clarify procedure bookings. Multiple calls may be required to ensure patient satisfaction and accuracy.

5. Ability to look up CPT codes in order to choose the correct procedural code.

6. Ability to understand insurance language and obtain authorization prior to the procedure.

7. Maintains effective scheduling flow and completes the Scheduling/Pre-admitting process in a timely manner.

8. Utilize customer service skills with patients and maintains effective working relationship with co-workers, nurses, physicians, and other hospital staff members to ensure workflow effectiveness.

9. Demonstrates a consistent level of performance during periods of low and high phone calls.

10. Demonstrates knowledge and understanding of patient privacy rights. Maintains confidentiality of all medical, financial and other sensitive material in printed, electronic or verbal form, which may jeopardize the privacy of patients and or employees.

11. Contributes to an effective and safe working environment.

12. Demonstrates tact, sensitivity and discretion.

13. Demonstrates ability to effectively and accurately use computer programs

14. Demonstrates the ability to integrate knowledge of job specific competencies

*Placement in the pay range is based on multiple factors including, but not limited to, relevant years of experience and qualifications. In addition to base pay, there may be additional compensation available for this role, including but not limited to, shift differentials, extra shift incentives, and bonus opportunities. Experience

• 2 or more years of experience in scheduling, admitting, or physician office experience
• Must communicate effectively and clearly both verbally and in writing
• Strong customer service skills
• General knowledge of insurance payors: PPO, HMO, POS, EPO, Medicare, Medi-Cal, & Cal-Optima
• Bi-lingual (English/ Spanish, or English/ Vietnamese) preferred
• Positive work ethic
• Strong organizational skills
• General computer skills required including: electronic medical record and Microsoft Office
• Knowledge of medical terminology
Education

• High school graduate preferred
• Medical Terminology related course or certificate preferred
