Position Summary

Essential Functions and Responsibilities of the Job

The Registration Coordinator I position represents the beginning of the revenue cycle for the medical center in aspects of demographic and financial data gathering/ processing that will result in appropriate exam/procedure(s) and reimbursement of hospital services.  This position is also responsible for initial patient intake, including scheduling, order entry,  and OP appointments. Also responsible for reviewing previous visit reports to ensure appropriate appointment scheduling.  Eligibility review and obtaining authorizations from referring physicians and/or requesting authorization for insurance payers.  Conducts interviews with patients representing the medical center’s admission and financial policies that adhere to JCAHO standards.  Under minimum supervision, performs specialized clerical duties which require frequent independent judgment and thorough understanding of applicable procedures.  Duties include receiving and/or conveying information, sorting and matching documents and filing records.  Customer service, listening skills and the ability to work in a multi-cultural / multi-ethnic environment are critical.   Adherence to high quality standards and use of lean principles to continuously improve performance.

Essential Functions and Responsibilities of the Job

Obtains accurate and current patient demographic and financial information to establish a valid medical record and patient billing account, for the purpose of expediting third party billing and collection in accordance with established hospital billing policies and standards. Asks open-ended questions to discover facts and remains calm and polite regardless of circumstance.

Informs patients of and collects insurance co-payments, deductibles, or deposits and follows established cash handling procedures. Financially screens patients to ensure that eligibility, authorization, or other necessary billing information has been obtained on all patient types in order to protect the medical center and patient from unnecessary financial loss.

Assists with quality review, audits, and maintenance of outpatient scheduling templates

Familiarizes self and remains current with all other outpatient registration procedures and stays current of all registration areas in the form of cross-training in order to provide assistance when needed.

Assists in the preparation and distribution of daily workloads, staff schedules, and other tasks as assigned by the supervisor. Provides instruction, direction, and assistance to all registration staff members. Represents the best interests of the department in a leadership capacity in the absence of a supervisor in order to act as a resource for staff in handling and addressing issues from other departments, and exercising sound judgement during problem situations.

Maintains patient confidentiality by adhering to all confidentiality policies established in accordance with HIPAA standards. Directs patients and visitors appropriately giving clear and concise directions and providing escorts when necessary.

Makes suggestions for enhancements throughout the department and continually seeks opportunities to improve current policies, procedures, and practices.

Responsible for managing patient, account and referral workups as assigned by department.Billing reconciliation and analysis as assigned.

Ensures that clinical record systems are maintained in compliance with state and federal regulations.

Performs other duties as assigned.

Placement in the pay range is based on multiple factors including, but not limited to, relevant years of experience and qualifications. Minimum Requirements

Qualifications/Work Experience:

  • 2+ years experience in hospital or outpatient/large medical group practice admitting setting or equivalent business experience preferred.
  • Experience and understanding of the hospital, outpatient, medical environment and government agencies.
  • Knowledge of medical and insurance terminology.
  • Electronic medical records experience a plus. Demonstrated critical thinking and analysis skills are required.
  • 40 WPM typing/keyboard skills preferred.
  • Bilingual Preferred. 

Education/Licensure/Certification:

  • Associates degree required; or any combination of education and experience, which would provide an equivalent background.
  • Bachelor's degree in health science, health care administration or related discipline preferred. Business-related courses and experience is a plus.
