Position Summary

The Manager Marketing Operations Efficiency oversees operational strategy, resource planning, and digital project management for the Marketing organization. This role manages workflows and project delivery, focusing on Monday.com governance, optimization, training, and system health. The Manager ensures effective prioritization, capacity planning, and timely delivery of marketing campaigns. Working closely with cross functional teams, the Manager streamlines processes, clears roadblocks, and maintains high standards for integrated digital initiatives across paid media, content, SEO, social, CRM, analytics, and branding.

Essential Functions and Responsibilities of the Job

Operational Strategy & Department Leadership

  • Lead the project management and resource operations specific to campaigns and digital activities across department.

  • Develop operational strategy, workflow design, staffing models, and digital project management frameworks.

  • Oversee prioritization and intake across multiple marketing workstreams, ensuring alignment with business needs, digital initiatives, and capacity.

  • Drive operational discipline, process governance, continuous improvement initiatives, and digital project management best practices.

Oversight of Resource & Capacity Planning

  • Provide strategic guidance on department wide resource allocation and utilization, including digital project staffing.

  • Approve escalated decisions on staffing, prioritization, workload balancing, and digital project assignments.

  • Partner with and guide cross functional team members in capacity management, forecasting, allocation, and digital project resourcing.

  • Maintain visibility into team availability, future resource needs, digital project timelines, and potential constraints.

Project Delivery Leadership

  • Ensure marketing and digital projects move efficiently through initiation, development, review, and delivery.

  • Serve as escalation point for conflicts, blockers, timing issues, cross team dependencies, and workflow system challenges.

  • Partner with cross functional leaders to support on time, high quality execution across all major campaigns, digital initiatives, and projects.

  • Uphold departmental standards for timelines, approvals, documentation, digital project governance, and quality.

Workflow Optimization & Process Improvement

  • Own workflow systems, with dedicated stewardship of Monday.com, including system structure, governance, and operational frameworks.

  • Lead rollout and change management for Monday.com, ensuring seamless adoption and integration into marketing operations.

  • Drive training, onboarding, and ongoing optimization of Monday.com, mentoring and guiding inputters, troubleshooting system issues, and fostering continuous improvement.

  • Ensure standards, system health, and operational excellence in Monday.com, regularly reviewing workflows, permissions, and data integrity.

  • Drive automation, efficiency enhancements, and solutions that improve team speed, clarity, collaboration, and digital project management effectiveness.

Cross Functional Alignment & Communication

  • Act as a central point of operational alignment between Digital Marketing, Creative, CPR, Service Line Marketing, and external partners, including digital project management and workflow system coordination.

  • Lead or co-lead weekly operational meetings, cross functional status reviews, portfolio planning sessions, and Monday.com training workshops.

  • Ensure clear communication of priorities, deadlines, risks, project expectations, and workflow system standards across all levels.

  • Partner with leadership and PMs to enable smooth handoffs, manage dependencies, adjust timelines, and maintain Monday.com system health.

Annual Campaign Calendar Ownership

  • Owns and maintains the annual integrated Marketing & Communications campaign calendar as the single source of truth—ensuring it is complete, current, and decision-ready for senior leadership and the finance manager.

  • Drives calendar completeness and accuracy by establishing a consistent intake process, required fields (key dates, milestones, channels, owners), and change control so campaigns don’t launch—or spend—without visibility.

  • Aligns campaign timing to budget phasing and fiscal cycles so the VP of Marketing can see the full strategic picture and the Finance Manager can forecast, allocate, and manage budgets with confidence.

  • Partners with Marketing Operations, Brand/Digital, Service Line Marketing, and Communications to ensure initiatives are accurately scheduled, resourced, and sequenced across the year, with clear owners and dependencies.

  • Provides regular pacing and visibility updates to leadership and Finance (e.g., weekly/monthly views of what’s launching, what’s shifting).

  • Ensures the calendar functions as a strategic planning tool connecting priorities to execution—supporting spend visibility, resource allocation, and informed tradeoffs when timelines or budgets change.

Performance Tracking & Reporting

  • Oversee development of dashboards, workload views, performance reports for marketing initiatives, and Monday.com system analytics.

  • Provide insights and recommendations to leadership based on utilization, workflow metrics, project delivery trends, and Monday.com performance data.

  • Support reporting for performance, campaign effectiveness, operational KPIs, and workflow system health.

Team Management & Mentorship

  • Provide coaching, guidance, and professional development for project management, operations roles, and Monday.com users across the department.

  • Foster a culture of collaboration, accountability, continuous improvement, and commitment to workflow system standards and health.

General Expectations

*Placement in the pay range is based on multiple factors including, but not limited to, relevant years of experience and qualifications. Minimum Requirements

Qualifications/Work Experience:

  • Minimum of 7 years of experience in marketing, preferably in a hospital or health care setting.

  • Minimum of 3 years leading a marketing team preferred.

  • Minimum of 2 years project management and/or marketing operations experience preferred.

  • Deep understanding of audience segmentation and diversified advertising tactics.

  • Proven track record of leading marketing campaigns that generate leads and ROI.

  • Ability to analyze, track and report out on data.

  • Strong time management skills to prioritize competing deadlines in a fast-paced environment.

  • Comfortability presenting to both clinical and non-clinical stakeholders.

  • Experience managing a marketing budget.

  • Proficiency in Microsoft Office.

  • Flexibility to work nights and weekends as needed at special events.

     

Education/Licensure/Certification:

  • Bachelor’s degree in marketing, communications or related field required. Master’s degree preferred.
