Position Summary
This position requires the full understanding and active participation in fulfilling the mission of Saddleback Medical Center. The Administrative Assistant I is responsible for office administrative and data support for the Acute Care Services departments. This position requires the ability to exercise independent judgment and to follow through on project assignments.It includes maintaining records, coordinating, and facilitating daily department operations, and clear communication to all hospital contacts and the community.
Essential Functions and Responsibilities of the Job
Provides administrative support for five (5) acute care services departments to ensure department operations run smoothly.
Creates routine and periodic reports and presentations for the various departments based on needs to enhance acute care services while also maintaining established workflows.
Schedules and coordinates meetings based on availability and prioritization of both routine and ad hoc meeting requests.
Supports effective daily office management including monthly reports, requisitions, maintaining files, orders, and proper functioning of equipment to support acute care services.
Maintains the ability to effectively prioritize and manage multiple tasks efficiently and meets appropriate deadlines.
Ability to be at work and be on time

Ability to interact in a positive and constructive manner
Ability to prioritize and multitask
*Placement in the pay range is based on multiple factors including, but not limited to, relevant years of experience and qualifications. Minimum Requirements
Qualifications/Work Experience:
1-year experience working in an Acute Care Hospital setting preferred
Minimum 3 years of administrative assistant experience required
Familiarity with medical terminology
Computer literate in spread sheets, word processing, graphic and managing network files/documents
Proficient in Microsoft Office (Word, Excel, PowerPoint)
Education/Licensure/Certification:
Associate degree in Computer Science, Business Administration, or another related field preferred
