Position Summary
The Foundation Coordinator plays a vital role in supporting the financial and philanthropic operations of the Saddleback and Orange Coast foundations. This multifaceted position ensures accurate data management, timely processing of financial transactions, and effective stewardship of legacy donors for Saddleback Medical Center Foundation and Orange Coast Medical Center Foundation. The coordinator works cross-functionally with finance, development, and donor relations teams to uphold the foundations’ mission and ensure data integrity and regulatory compliance, maintaining operational excellence.
This position requires full understanding of and active participation in fulfilling the mission of Saddleback and Orange Coast Medical Center Foundations. The employee shall support Saddleback and Orange Coast Medical Center’s strategic plan and participate in and advocate performance improvement/patient safety activities.
Essential Functions and Responsibilities of the Job
Maintain and update donor database with gift entries, pledges, and contact information. Process donations from various channels (online, checks, wire transfers, stock gifts). Ensure accuracy and integrity of donor records, gift processing and reporting. Generate tax acknowledgment letters using mail merge tools.
Provide scheduled and/or ad hoc reports from Raiser’s Edge and/or Epic database to finance, development and events staff.Create new reports as needed.
Review and process invoices for accuracy and proper coding. Coordinate approvals and ensure timely disbursement of payments. Reconcile payment transactions and resolve discrepancies. Support month-end closing activities.
Track and manage legacy gift commitments and bequests. Ensure proper documentation and compliance with donor intent. Support donor stewardship efforts including personalized outreach and recognition. Collaborate with development staff on legacy donor cultivation and events.
Assist in preparation of materials for presentations to internal and external audiences.
Undertakes ad hoc projects, when required to assist management in maximizing resources.
*Placement in the pay range is based on multiple factors including, but not limited to, relevant years of experience and qualifications. In addition to base pay, there may be additional compensation available for this role, including but not limited to, shift differentials, extra shift incentives, and bonus opportunities. Minimum Requirements
Qualifications/Work Experience:
Familiarity with donor management systems (e.g., Raiser’s Edge, Salesforce).
2+ years of experience in accounts payable, data entry, or donor services.
Strong attention to detail and organizational skills.
Excellent communication and interpersonal abilities.
Commitment to confidentiality and ethical handling of donor and financial data.
Strong computer skills, including MS Office (Word/Excel/PowerPoint/Outlook)
Education/Licensure/Certification:
Bachelor’s Degree preferred
